Claim Preparation & Documentation
A well-documented claim is a well-paid claim. We build the case that gets you paid.
Overview
Claim preparation and documentation is the process of assembling a complete, professional claim package — including damage reports, photographic evidence, repair estimates, loss inventories, and supporting documentation — that presents your insurance claim in the strongest possible terms. This is where the difference between a public adjuster and a DIY claim becomes most apparent. Insurance companies evaluate claims based on the documentation they receive. If your claim file is incomplete, disorganized, or missing key evidence, the insurance company will use those gaps to reduce your settlement. Our team prepares claim packages that meet or exceed the evidentiary standards used by the insurance industry itself. We have prepared documentation on over $300M in property damage claims nationwide, and we know exactly what adjusters, desk reviewers, and supervisors need to see before they approve a payment.
What goes into a professional claim package?
Every claim package we prepare includes: a detailed scope-of-loss report tying each item of damage to the covered cause of loss; professional photography with annotations identifying specific damage; video documentation of property conditions; a complete Xactimate repair estimate with current labor and material pricing; and a cover letter summarizing the claim and citing the applicable policy provisions.
For contents claims, we prepare room-by-room inventories with replacement cost valuations for every damaged or destroyed item. For commercial properties, we include business interruption calculations, equipment depreciation schedules, and code-upgrade requirements. Every document is organized, labeled, and cross-referenced so the insurance company has no reason to delay or request additional information.
Why does documentation quality matter so much?
Insurance companies process thousands of claims. The ones that get paid quickly and fully are the ones where the documentation leaves no room for dispute. When an insurance adjuster opens your file and sees a professional, thoroughly documented claim with clear evidence supporting every line item, they know they are dealing with someone who understands the process — and they adjust their approach accordingly.
Conversely, when a claim comes in with cell-phone photos, no written scope, and a handwritten estimate, the insurance company sees an opportunity to negotiate down. Every gap in your documentation is leverage the insurance company can use against you. We eliminate those gaps before your claim is ever submitted.
How do we handle large-loss and commercial documentation?
Large-loss claims — typically anything over $100,000 — require a significantly higher level of documentation. These claims are reviewed by senior adjusters, supervisors, and sometimes independent engineers or forensic specialists. Our documentation for large-loss claims includes: multi-phase inspection reports, drone imagery, thermal imaging where applicable, third-party engineering reports when structural damage is involved, and detailed building component inventories.
We have documented claims on manufacturing facilities, apartment complexes, churches, school districts, senior living centers, and strip malls. In every case, the thoroughness of our documentation was the single biggest factor in achieving a fair settlement. We build our files to withstand scrutiny at any level — including appraisal and litigation if it comes to that.
What happens after the claim is submitted?
Submitting the claim is not the end of the documentation process — it is the beginning of the negotiation. As the insurance company reviews your claim, they will often request additional information, issue partial payments, or dispute specific line items. We manage every communication, respond to every request, and supplement the claim file as needed to address the insurance company's questions.
We maintain a complete copy of your claim file and track every document, email, and phone call. This level of organization and follow-through is what separates professional claim management from the frustrating back-and-forth that most policyholders experience when handling a claim on their own.
